The telegra Contact Center receives e-mails by regularly querying a list of POP3 and/or IMAP servers and sends outgoing e-mails via an SMTP server. Administrators can define, edit and delete e-mail servers.

## Guide - Configuring Email Servers

- Click on*** Email → Email Server*** in the menu bar. A list of email servers that have already been created will be displayed.
- How to add a new email server:
  - Click **Add**. The New Email Server page is displayed.
  - Select the server type from the drop-down list. For incoming email, select either POP3 or IMAP. For outgoing e-mails select SMTP.
  - Enter the name of the email server (up to 200 characters).
  - It is best to create a short description for the email server.
  - For Host enter the hostname of the mail server (up to 70 characters). For example: pop-mail.outlook.com or smtp-mail.outlook.com.
  - In the Port field, enter the port number used by the mail server.

> 📝 **Note: **If you do not specify a port number, the default value (shown) is used.

- Now check the **TLS** checkbox if Transport Layer Security (TLS) should be used to protect the data during transmission. TLS is used by default.

> 📝 **Note**: If this check box is not selected, STARTTLS is used (if supported by the mail server).

- For **Authentication Type**, select either Basic or OAuth2 from the drop-down list.
- Under **User**, enter the user name associated with the email server. This is usually an email address.
- For incoming email (POP3 or IMAP servers), this is the destination username/email address used to select the appropriate Contact Center queue. For example: inbound.email@outlook.com.
- For outgoing email (SMTP server), this is the sender username/email address of the email. For example: outbound.email@outlook.com.
- Enter the password for the email server (up to 255 characters). All Unicode characters are allowed, including spaces and accented letters.
- For incoming mail (IMAP server only), enter the folder for the inbox (up to 255 characters).
- For incoming emails (POP3 or IMAP server), select the email workflow to associate with this email server.
- To enable validation of these email server settings, check the **Enabled** checkbox.
  - If this checkbox is selected, after you click **Add** (or Save Changes), the system immediately attempts to connect to the email server using these settings.
  - If the connection is successful, the message "Connection successful" is displayed.
  - If the connection fails, the message "Connection failed" is displayed along with a reason for the failure.
  - You can then either save the current configuration settings as an inactive connection or discard your current settings and reconfigure.

> 📝 **Note:** If your settings are valid and the connection is successful, the system will automatically query the active connection. If an error occurs at any point, a message will be displayed.

- Click **Add**.

> 📝 **Note: **To use an SMTP server for outgoing email, assign it to the appropriate email queue. An SMTP server must be associated with an email queue before it can be used as an email server from which outgoing email is sent.

- To delete an email server, select the corresponding email server in the list, click Delete and then confirm that you want to delete the email server.
